If you’ve never planned a wedding before, it’s totally fair to ask: Do I really need ushers? What do they even do? Great questions. Let’s break it down.

Ushers are typically friends or family members who help with guest experience on the wedding day. They’re not part of the wedding party, but they do have an important role. Especially in those first moments when guests are arriving and figuring out where to go.

Think of ushers as the front-of-house team for your wedding. Their main tasks might include:

Ushers are usually stationed at the entrance of the ceremony venue. Depending on your layout, they might also help guide guests from the parking lot or lobby into the ceremony space. Once the ceremony begins, they can take their seats.

The most helpful time for ushers to be active is during guest arrival. That’s typically the 30 minutes leading up to the ceremony. This is when guests are the most unsure about where to go, and having a friendly face at the entrance can really elevate the experience.

Here’s where it all connects. Your venue coordinator is there to oversee everything venue-related. They make sure tables are in place, vendors are set up, and the space is running smoothly. Your planner (that’s me!) is there to manage your timeline, cue the ceremony, troubleshoot surprises, and guide the flow of your day.
But neither of us is posted at the front door full-time to greet each guest and hand out programs. We absolutely help with direction when needed, but it’s not our primary job. If something urgent comes up behind the scenes, we’ll step away to handle it.
That’s where ushers come in. They fill that gap and make sure guests feel seen and supported from the moment they walk in.

If you have an usher or two, that’s fantastic. If you don’t, it’s not a dealbreaker. Your guests will figure things out just fine. But if you’re hoping to elevate the guest experience and ensure that warm welcome on arrival, assigning someone to act as an usher is an easy win.
